Due to high demand of our services, we are seeking a Parts Customer Service & Order Management Coordinator to join our team.
This is a fantastic opportunity for a customer-focused professional who enjoys building relationships, coordinating orders and working across multiple teams to deliver an outstanding customer experience.
About the Role
Reporting to the Parts Inside Sales Team Leader, you will play a key role in managing the end-to-end customer order lifecycle, from quote conversion and order processing through to delivery, payment follow-up and returns.
You will be a key point of contact for our customers, ensuring enquiries are handled promptly, orders are processed accurately and customers are kept informed throughout the process.
Working closely with our Sales, Warehouse, Purchasing, Finance, Logistics and Operations teams, you will help ensure orders are fulfilled accurately and on time.
Key Responsibilities
- Provide professional, responsive and customer-focused service across all customer interactions.
- Respond to customer enquiries and requests, providing accurate information and effective solutions.
- Manage customer expectations by providing updates on order status, product availability and delivery timeframes.
- Process approved quotations into sales orders, ensuring pricing, product details, quantities and delivery requirements are accurate.
- Monitor daily order queues and prioritise activities to meet customer and operational requirements.
- Coordinate with internal teams to resolve order discrepancies, stock availability and delivery issues.
- Provide customers and internal teams with delivery documentation and consignment information.
- Process product returns, credits and associated documentation.
- Monitor customer accounts and follow up outstanding payments in line with company processes.
- Work closely with Purchasing and Warehouse teams to manage stock availability, backorders and order fulfilment.
- Liaise with Finance regarding account enquiries and credit management matters.
- Maintain accurate customer, order and transaction records.
- Identify opportunities to improve customer service and order processing efficiency.
- Contribute to a collaborative team environment and support colleagues where required.
We are looking for someone who is customer-focused, organised and proactive, with the ability to manage multiple priorities in a fast-paced environment.
To be successful in this role, you will have:
- 2-3 years' experience in customer service, customer operations, sales support, order management or administration.
- Demonstrated experience processing customer orders and coordinating order fulfilment.
- Experience working with an ERP system such as SAP or similar.
- Strong Microsoft Office skills, particularly Outlook, Excel and Word.
- Excellent attention to detail and accuracy.
- Strong organisational and time management skills.
- Excellent written and verbal communication skills.
- A genuine commitment to delivering high-quality customer service.
- Strong problem-solving skills and a proactive "can-do" attitude.
- The ability to build positive relationships with both customers and internal stakeholders.
- Experience working collaboratively across functions such as Sales, Warehouse, Purchasing, Logistics and Finance.
