Purchasing cum Inventory Executive

Role Description:

• To support the procurement function for overseas and local purchasing transactions/matters.
• To support the Inventory and warehouse functions in the receipt and production of goods.

Key Responsibilities/Duties:

• To assist in implementing regular price benchmarking to ensure the Company benefits from cost effectiveness. This includes sourcing and evaluating alternatives and ongoing price negotiations with vendors.
• To ensure Purchase Requisitions (PR) or Siebel POR are converted to Purchase Orders (PO), Framework POs (FPOs) or warranty POs in a timely manner, in line with Quality Management Systems (QMS) and ISO standards, following DOA and Konecranes company policies, processes, and procedures.
• To monitor and ensure deliveries are met according to the given timeline and to obtain agreement on the next best timeline and ensure all parties involved are informed monthly.
• To resolve any issues with vendors arising from discrepancies in quantity, quality, service, pricing, or any related issues related to PO or Contract or OC, in relation to warranty claims and recording notifications as well to ensure they are closed.
• To maintain and save 3-way matches on IRGR records and tracking lists to facilitate retrieval.
• To update the Purchase Cost Savings file regularly and upload it monthly.
• In accordance with Konecranes (KC) ISO requirements and 1KC supplier onboarding program or vendor renewal onboarding, strictly follow the Konecranes Know Your Supplier Policy, Code of Conduct and Purchasing Compliance and the required flow to follow.
• To perform other tasks related to Purchasing or systems or related to purchasing/procurement matters when issues arise and resolve them.
• To perform daily goods receiving and issuing in SAP system.
• To issue Purchase Requisitions for inventory and warehouse non-stock, service, and asset.
• Actively participate and assist in the Financial Year End stock take exercise, cycle count, pre-count activities.
• To handle manual withdrawal, abnormal posting, update daily delivery and documentation filling.
• To compile audit documentation to fulfil and comply with compliances policy.
• To assist on Inventory and warehouse to achieve monthly KPIs report.
• Perform task delegated by the immediate superior or Manager from time to time.

Skills & Knowledge: 

• Knowledge of Supply Chain, Purchasing Processes - Strong
• SAP Materials and Inventory Management system - Moderate

Behavorial Competencies:

• Problem solving, Communication and Negotiation skills - Moderate
• Adopting and Responding to Changes- Strong
• Planning, Organising, Delivering Results and Meeting Customer Expectations- Moderate

Academic Qualifications

• Minimum Degree in Business Administration, Operations Management, Supply Chain, Data Science, Engineering or equivalent.
• Master is an advantage.
• Minimum 3 years of relevant experience in supply chain, purchasing, logistics, inventory and warehouse or customer services.
