Position Summary
Provide support to the Project and Installation team in all areas of administrative work and Project Monitoring via SAP. Performing data entries and preparing all contractual and project related documentation.
Key Responsibilities/Duties :
Functional Role
- In-charge in updating the delivery date in the SAP in a monthly basis.
- Prepare the Zomda Report via SAP and coordinate to Project Engineers for all project update prior to bi-weekly project meeting.
- Monitors and check the billing plan prior to closing and invoicing.
- Monitors collections and retentions per project and endorse to collection department if no project issues related or punchlist.
- Check SO prior to project monthly closing ensuring that all costs are captured. Provide feedback to Project Engineer if there are discrepancies versus budget. Coordinate to Project engineer for proper Goods Receipts (for goods and services delivered directly to site).
- Check and verify invoices of contractor or suppliers submitted by the Project Engineer prior to approval and submit to Material Management or Finance for payment processing.
- Assist in the preparation of inspection documents for timely submission to the local statutory board (if required) and ensure that they are following the board's requirements resulting in approval and acceptance.
- Monitor and prepare a Project closing report and submit to Superior in a monthly basis.
- Assist in the planning, preparation of meetings, conferences and teams call meeting.
- Responsible for all SAP related processing including the following:
- Process Purchase Requisition
- Tools for CAPEX and approval.
- Consumable office supplies, etc.
- Process Purchase Requisition
- Assist installation technician for all the staff claims and recording of manhour.
- Monitor issues of safety shoes, helmets, uniforms and T-shirts for Project and Installation personnel to ensure adherence to safety standards and requirements.
Skills, Knowledge & Competencies
- Proficiency Level in Microsoft Office Application
- 1 KC SAP Knowledge
- Product Knowledge
- Adhering to Principles and Values
- Following Instructions and Procedures
- Adapting and Responding to Change
- Awareness of ISO 14001 & 45001 Standards
Academic Qualifications
Minimum Diploma in Business Administration or any related course.
Professional Experience
At least 1 year experience in administration work and Project Reporting via SAP
Job Location Assignment
Successful candidate must willing to be assigned at our factory in FPIP Santo Tomas Batangas
