The Process Optimization Specialist is part of the Process Excellence & Projects team in the People Operations organization, having a vital role in optimizing processes and automating workflows in collaboration with other stakeholders.
The Specialist supports data-driven identification, analysis, and validation of process issues for People & Culture process improvement projects. They work with different teams on both refinement & development topics, providing custom technical solutions when needed.
Specialist also acts as a point of contact for People & Culture Operations on ServiceNow platform, being responsible for system and configuration improvement roadmaps, testing and implementation.
Key Tasks:
Automation Build & Optimisation
- Support improvement ideas refinement and optimize People Operations WoW.
- Coordinate the e2e process improvement projects - build, maintain and optimise light automations using tools such as Power Automate or RPA.
- Ensure solutions are fit for purpose, documented, stable and aligned with standards.
Process Mining & Baselining
- Conduct process mining and performance analysis across end-to-end People processes.
- Support hypothesis-driven analysis to identify root causes and bottlenecks.
Data Reasoning & Insight Generation
- Translate operational data into insights beyond descriptive reporting.
- Combine qualitative feedback and quantitative data to support prioritisation and decision-making.
ServiceNow Improvement and Maintenance
- Act as point of contact for ServiceNow-related developments, finetuning and refining improvement ideas, collaborating with respective IT team to ensure smooth go-live of roadmap items.
- Provide user support for People Operations and local teams, including managing Workflows, reporting and Dashboards.
- Maintain documentation and train relevant stakeholders as needed.
Continuous Improvement Monitoring
- Support post-implementation monitoring and value tracking against baselines, support building and monitoring KPI’s and other success indicators.
- Support backlog maintenance in Jira (Atlassian) tool where needed.
Other duties
- Provide backup support within the team when required.
- Demonstrate safe working practices in line with company procedures.
- Perform work related duties as assigned by management.
- Follow GDPR requirements in daily tasks.

Education
- BA and/or vocational training with relevant 3–5 years of experience.
Experience and competences
- Strong previous experience and understanding of People (HR) processes in a global environment.
- Successful process improvement project experience, using process analysis, operational analytics. and/or continuous improvement frameworks.
- Experience with ticketing and collaboration tools like ServiceNow and Jira is an advantage.
- Hands-on experience with automation tools (Power Automate, RPA).
- Strong analytical and data reasoning skills, advanced Excel knowledge (VBA, PowerQuery).
- Understanding of LEAN, LSS and design-thinking methodologies is strongly beneficial.
- Technical mindset, coupled with an interest in AI-enabled tools and use-cases.
- Fluent English communication skills.
